Indian Data Protection Compliance Framework under the DPDP Act, 2023

1. Introduction and Scope
Meet360 is a premium video conferencing, collaboration and rewards platform operated primarily by Tech Gaint Solution Private Limited. This policy explains how Meet360 collects, processes, stores, shares, secures and deletes digital personal data in accordance with the Digital Personal Data Protection Act, 2023.
This policy applies to users in India, processing activities in India, and services offered to individuals in India, including the website, meetings, KYC verification, affiliate program, wallet and payout features.

3. Categories of Digital Personal Data Collected
- Identity and account data: full name, display name, email, mobile number, profile picture and hashed password.
- KYC and verification data: Aadhaar, PAN, passport, voter ID, driving licence, proof of address, photographs/video for facial verification, date of birth and nationality.
- Financial and transaction data: MeetPoints, wallet balances, payout details, bank account number, IFSC, transaction history and withdrawal requests.
- Meeting and usage data: meeting titles, schedules, participant details, chat messages, participation duration, screen sharing activity and technical logs.
- Affiliate and performance data: referral codes, affiliate network, earnings, leaderboards and performance metrics.
- Technical and analytics data: IP address, device identifiers, browser, operating system, session logs, error reports and aggregated analytics.
4. Purposes of Processing and Lawful Grounds
- Creating and managing user accounts and profiles.
- Enabling video meetings, chat, screen sharing and collaboration features.
- Operating MeetPoints rewards, leaderboard, affiliate and referral systems.
- Completing KYC verification and payout processing under applicable financial and AML requirements.
- Preventing fraud, protecting platform security and complying with legal obligations.
- Sending service updates, support messages and optional marketing communications.
5. Rights of Data Principals
- Right to access information about personal data processing.
- Right to correction of inaccurate or incomplete personal data.
- Right to erasure where data is no longer necessary or processing is unlawful.
- Right to withdraw consent at any time where processing is consent-based.
- Right to nominate another person to exercise rights in case of death or incapacity.
- Right to grievance redressal through the designated privacy contact.
- Right to approach the Data Protection Board of India where applicable.
6. Obligations of Meet360 as Data Fiduciary
- Provide clear notice before or at collection of personal data.
- Collect valid consent where required and allow withdrawal of consent.
- Use data only for specified, lawful and legitimate purposes.
- Apply data minimisation and accuracy controls.
- Use appropriate security safeguards to protect personal data.
- Retain data only as long as necessary or legally required.
- Maintain processor agreements and accountability records.
- Notify applicable authorities and affected users in case of reportable data breach.
7. Data Processors and Data Sharing
Meet360 may use trusted processors for cloud hosting, video infrastructure, payment gateways, KYC verification, email/SMS delivery, analytics and security. Processors must maintain confidentiality, use suitable safeguards and process data only under Meet360 instructions. We do not sell personal data.
8. Cross-Border Transfer
Personal data may be transferred outside India for processing or storage where necessary for Meet360 services. Such transfers are carried out in accordance with the DPDP Act and applicable rules, with appropriate contractual and security safeguards where required.
9. Data Retention and Deletion
- Account and profile data is retained while account is active plus a reasonable period for legal and operational purposes.
- KYC and verification records are retained as required under applicable financial and regulatory laws.
- Financial and transaction records are retained as required under tax, accounting and payment regulations.
- Meeting recordings and chat are user-controlled unless legal retention applies.
- Personal data is deleted or anonymised when no longer required, unless retention is legally required.
10. Security Safeguards
Meet360 uses technical and organisational safeguards including TLS encryption, secure access controls, role-based permissions, secure development practices, monitoring, backups and incident response procedures.
